Administration AssistantWork Dynamics

Roles and Responsibilities

The key responsibilities of this role include:
Calendar Management for Directors. Coordinate and ensure it is timely managed all business meetings. Follow up with emails, and action plans from Directors’ work-in-progress plans. Assist to respond on behalf of the Director’s emails when required.
Consolidate data, presentations, and reports into the respective Folder and manage the updates.
Submit quarterly updates on WPS organizational structures, strategic plans, innovation initiatives, and product-related projects. Plan and coordinate quarterly review sessions to go through country strategic plans. Maintain the Tracker and report the changes quarterly.
Coordinate travel, Visa application, and accommodation arrangements for the team. Plan and set up meetings for the Work Dynamics team (Local & Overseas sites).
Coordinate and set up key leadership meetings and conference/WebEx calls. Coordinate and plan workshops for the country teams bi-annually.
Overall, in charge of Management meetings – drafting agenda, booking of venue, food menu, arranging accommodation and visa letters, etc. Discuss with Team leaders on presentation templates. Set up pre-workshop meetings to prepare all leaders on the requirements needed for the workshop. Taking minutes of meetings and circulating among the team. Plan Strategic tracker and plan follow-ups.
Event Planning – coordinate/support team-building activities, IFM innovations, CIWG, Appreciation Awards, etc.
Manage all ad-hoc administrative duties for Directors and team. Arrange new hire onboarding process and procedures and exit checklists for resigned employees. Coach new hires on organizational structure, the introduction of team members including sending an internal communication on welcoming new hire.

Financial OutcomesPrepare and submit budget plans for the overall team (travel budget). Keep track of T&E on monthly basis. Discuss with Finance Head prior to planning trips to ensure no over-expenditure or high costs are incurred.
IT/TechnologyBuilding up and maintaining site platform for Account SharePoint. Manage the website with updated news and information.
Prepare and coordinate new hire (JLL Account staff) IT devise requests and return as they leave the organization.
Create and publish a quarterly Newsletter for the IFM team. Write up topics and communicate with high levels to gather information and articles for newsletters.
