Ordering of office and pantry supplies like stationery, water, name cards, etc
Oversee standard office equipment and consumables such as printer, ink, toner, paper, etc
Maintain and upkeep of HR and office admin records and filing system
Liaise with IT & Support Services on IT and related maintenance issues
Coordinate with vendors on office maintenance matters such as lights replacement and carpet cleaning
Organise and/or provide support for smooth-running of company events and meetings
Checking of invoices received from external vendors of the admin & HR department
Checking and preparation of staff expenses claims
Manage office meeting room bookings
Oversee general housekeeping and cleanliness of the office
Any other ad-hoc duties as assigned

Job Description

In this role, you will provide support to a Vice President of the company. You will be forward thinking with a professional and approachable demeanor in all interactions; possess outstanding communication skills with all levels of staff, executives and customers, and have excellent judgement. Providing calendaring, travel, expenses, along with management and oversight of special projects, as needed. You will be responsible for determining when to refer matters to others, and to whom they should be referred. You will become a business partner and core member of the leadership team.

Responsibilities include:

Calendar Management: Own the executive calendar; coordinate across C-suite-execs, business partners and team members by prioritizing schedules and meetings. For example, may decide who gets on principal’s calendar, what meetings are attended, and who can attend as delegate.
Meeting Planning and Organizations: Assists in planning and organizing meetings by taking responsibility for assembling the agenda, location, meeting technology based upon participant needs and all other meeting logistics. May further prepare meeting briefing documents by taking and disseminating notes and formulating post meeting action item lists.
Takes initiative to resolve problems within specified policies and guidelines and provides mentoring to administrative community members on problem solving. Determines when executive action is required and supplies a recommendation where appropriate.
Event Speaking Coordination: Helps handle a running list of engagements by working closely with the Leadership team, Chief of Staff, and Communications Manager to ensure content is prepared and expectations set in motion, so the Executive is prepared for each engagement.
Special Projects: Provides analytical support to assist executive on special projects. Research issues, analyze problems, compiles data, and prepares reports.
Confidentiality, the candidate will deal professionally with sensitive and confidential matters and materials.
Travel: Responsible for making global travel arrangements for the principals. Carefully considers and decides the optimum travel arrangements and itinerary for calendared meetings while managing expenses in a timely matter.
Support the department’s financial processes, contracts, purchase orders, payments, and vendor relations.

In addition to the general administrative duties of an Executive Assistant, daily tasks are carried out at a higher level of complexity. This includes researching issues, analyzing problems, determining approaches, compiling data, and preparing reports. Due to the frequent engagement and visibility of the VP and the organization across the company, this individual will interface with and coordinate activities with other EAs and executives across WDC.

Qualifications 

You have experience providing support at the Executive level. You take initiative, can handle a full desk with ease, and thrive in a busy environment.

Our minimum requirements for this role: Diploma or Bachelor’s degree in any field
5+ years’ experience in Executive leadership support role
Outstanding track record of performance
Great attention to detail and the maturity to handle confidential information is a must
Team player with a can-do attitude and flexible to changing priorities
Must demonstrate a sense of urgency and ownership to drive issues and tasks to completion
Must be agile, thrives in a constantly evolving business, and collaborative environment

Executive Assistant provides high level administrative and executive support to the PVC and CEO in a confidential environment and is also responsible for providing high-level support to the senior management team. Duties and responsibilities include but are not limited to:

Responsible for the smooth running of projects by tracking progress and provide timely updates to the management on status, budget, irregularities, and risks.
Provide secretariat support and manage the day-to-day operations of the Office of the PVC.
Proactively manage the CEO’s diary and engagements including arrangement of oversea business and personal trips.
Coordinate diaries, events and meetings for the management team.
Arrange and coordinate functions, external visitors, travel arrangements and support for all inbound and outbound staff visits/conference trips.
Draft, and prepare correspondence, reports and presentations for the PVC and CEO.
Provide support for meetings and committees, including preparation of agendas, minutes and actions arising, and coordinate the submission of reports.
Liaison with corporate secretary service provider in the arrangement of Board of Directors’ meetings.
Prepare and lodge documents with ACRA and other government agencies. Maintain statutory filings and ensure proper statutory records.
Coordinate preparation of papers and reports for Committees, Council and Board with the management team.
Manage, plan, and execute in-house guests’ events and celebrations.
Work collaboratively with the academic and professional team, providing the necessary and relevant administrative support including but not limited to marketing activities and corporate events
Manage the purchasing of office stationery and other consumables including pantry and catering, maintenance servicing, and procurement of supplies.
Selection Criteria

Completion of a degree level qualification with subsequent relevant experience; or an equivalent combination of relevant experience and/or education/training.
Proficient in English language (written and spoken) is required to draft reports, correspondence and presentations for the PVC and CEO.
Demonstrated experience in the provision of office management, high level executive services with the ability to act with diplomacy, discretion and tact.
Strong organisational skills including the ability to organise workflows to meet competing demands and adaptability to a range of workplace expectations and responsibilities.
Experience in providing high-level secretarial and administrative support to senior executives in a university environment or similar large and complex organisation and covering diary and travel management, correspondence, bring forward action management, document development, information management.
Demonstrated highly developed interpersonal, verbal, and written communication skills and the proven ability to liaise effectively and discreetly with a wide range of management, staff and external parties on complex, sensitive and confidential issues.
Demonstrated high level of computer literacy including word processing; presentation software; email; internet and electronic document management applications.
Ability to work both independently and collaboratively using initiative and problem-solving skills as well as high attention to detail to complete tasks and assigned projects.
Self-starter with experience in planning and supporting the delivery of projects with the ability to identify and complete critical tasks whilst partnering with a range of stakeholders across a large and complex organisation.
Knowledge of, and experience in adhering to workplace policies and procedures in the areas of work health safety, equity, diversity and promoting a respectful workplace culture.
